Creating Contacts and Opportunities

Contacts and Opportunities are the heart of 1Stop, and represent the first step in the appointment setting process. Contacts are individuals, and therefore should never have a duplicate. Opportunities are leads, or potential projects, and as a Contact may own more than one home, or have a home with more than one project, each Contact may have multiple Opportunities. 

Contacts are either created automatically, from your own website or other third parties, or they can be manually created in response to an inbound phone call after a consumer received a direct mail piece, for example.
Creating a Contact
1. Before manually creating a Contact, always check to see if the Contact already exists. To do so, click the magnifying glass icon in the top menu bar and search for the phone number or email address. If the Contact already exists, as seen in the first example below, simply click on their record under "Contacts". If the Contact does not already exist in 1Stop, per the second image below, proceed to step 2. 

 

 

2. If the Contact you are creating is a Referral, please see the Creating a Referral article. Otherwise, open the Contacts module from top menu, then click "Create Contact" in the top right of of page.


3. Enter as much information as you have on the Contact, with First Name, Last Name, Lead Category and Lead Source fields being mandatory. While Phone Number and Email Address are optional, at least one of them should always be collected. Click "Save".



4. After clicking "Save" the screen will refresh and you will be on the Contact record that you just created. Note that a new Opportunity will have been created, accessible via scrolling or clicking within the Related List. Clicking on the Opportunity Name will take you to that record, which will allow you to gather information from the Contact in regards to their project.




Creating an Opportunity
1. While Opportunities are automatically created when a Contact is created, if you receive an inbound phone call from an existing Contact and need to manually create an Opportunity, simply click the + symbol after the "Opportunities" in the Related List of that Contact.


2. Any information that was already present in the Contact record will automatically appear. Click "Save".
