A Task is a specific piece of work or activity assigned to someone to be completed within a certain timeframe. In 1Stop, Tasks appear on the record’s Home page, the task owner’s calendar, and in other related records. When creating a Task, you'll need to enter key details such as the Subject, Task Owner, Due Date, and the Contact or Account it’s related to. You can also add custom fields to the Tasks module to capture additional information.
Create a Task
1. Navigate to the Tasks Module, and click Create Task. (You can also create a Task directly from the Calendar).
2. In the Create Task page, specify the task details and click Save.
Note
Tasks will only be marked as closed when the Status of the task is changed to Completed.
The status, Completed, is a system defined field. Creating a custom field with an identical label will not close the task automatically.
Set Up Recurring Tasks
If you want to create tasks that need to repeat over a specific period of time, you can set them as recurring tasks. You’ll be able to specify when the task should be completed and how often it should repeat. Recurrence can be set to: Daily, Weekly, Monthly, Yearly or a Custom pattern where you can define your own schedule.
1. While creating a Task, toggle Repeat on. Select the repeat type (Daily, Weekly, Monthly, Yearly or Custom) from the drop-down list. Choose when the recuring task should end, then click Done.
Note
If the repeat type selected is Daily, you can choose to exclude Weekends and Holidays.
If the repeat type selected is Monthly or Yearly, you can choose to set the due date of the task to the next business day if the due date would fall on a non-working day.
Set Up Task Reminders
You have the option to set reminders that alert you before a Task's due date. You can choose to be reminded either on the due date itself or the day before, at a designated time. Reminders can be sent via email, pop-up notification, or both. Additionally, you can set up recurring reminders if needed.
1. While creating a Task, toggle Reminder on. In the pop-up screen, specify when you want to be reminded-either on the due date or the day before-along with the exact time. Then, choose your preferred notification method: Email, Pop-up, or Both. Once you're finished, click Done.
Info
If you are creating a task for other users, you can notify that user via email by selecting the Notify Owner checkbox.
The user will be notified when:
A new task is assigned to another user.
Owner of an existing task is changed to another user.
A task is completed.
Create Tasks in Bulk
If a task needs to be performed for multiple records, you don’t have to create one for each individually—you can create them in bulk.
1. Navigate to the module where you want to create the task for. From the list view, select the records you want to create a task for, and click Create Task. In the pop-up screen, enter the task details (as outlined above), then click Save.
Edit Tasks
You can edit a task or change its repeat settings at any time.
1. Navigate to the Tasks module and select the task you want to edit.
