1Stop offers a simplified process for recording referral bonuses by prioritizing the essential information needed for accurate bonus calculations. This article presents a step-by-step guide on how to complete a referral bonus record in the system, along with an explanation of important supporting data that can assist in the completion of each referral bonus record.

Steps to Complete a Referral Bonus Record

Accessing "To Be Completed" Referral Bonus Records

1. On the Referral Bonus Module, select the "2. To Be Completed" Custom View.



2. The To Be Completed Custom View will show all records that are waiting to be completed. Click the Referral Bonus Name to access that record.



3. The base setup of 1Stop has the following three Transitions for a referral bonus record in the To Be Completed state. Select the appropriate option based on the descriptions below, then Save.



Transition Descriptions:
  1. Contact Bonus: When the referral bonus is intended for a specific Contact, select the "Contact Bonus" Transition. If Bonus Type field is New Customer or Referral-Contact, this will be the only Transition available.
  2. Employee Bonus: When the referral bonus is intended for a specific Employee, select the "Employee Bonus" Transition. If Bonus Type field is Referral-Employee or Employee Generated, this will be the only Transition available.
  3. Vendor Bonus: When the referral bonus is intended for a specific Vendor, select the "Vendor Bonus" Transition. If Bonus Type field is Referral-Vendor, this will be the only Transition available.

Completing a Contact Bonus

When the Contact Bonus Transition is selected, the Contact Bonus pop-up box will appear. Complete the fields based on the descriptions below, then Save. 


Field Descriptions:
  1. Contact Name - This field should be populated with the Contact who will be receiving this referral bonus. If this field is not pre-populated, select the icon to open up the Choose Contact box to assist in selecting the appropriate Contact.
  2. Bonus Type - If the referral bonus is intended for the Contact who made the referral, the "Bonus Type" field should be set to "Referral-Contact." If the referral bonus is intended for the new customer, the "Bonus Type" field should be set to "New Customer."  Finally if the referral bonus is intended for as an add-on sale bonus for the customer, the "Bonus Type" field should be set to "Add-On Sale."
  3. Fixed Bonus Amount - This field represents the $ amount that the contact should receive as their referral bonus.  If there is no Fixed Bonus Amount due then enter 0.

Completing a Employee Bonus

When the Employee Bonus Transition is selected, the Employee Bonus pop-up box will appear. Complete the fields based on the definitions below, then Save. 



Field Definitions:
  1. Employee Name - This field should be populated with the employee who will be receiving this referral bonus.  If this field is not pre-populated select the icon to open up the Choose Employee box to assist in selecting the appropriate Employee (Note - a user with access to the full employee module will need to complete this field).
  2. Bonus Type - If the referral bonus is intended for the employee who made the referral, the "Bonus Type" field should be set to "Referral-Employee." On the other hand, if the referral bonus is intended for the an employee who helped generate a contact referral, the "Bonus Type" field should be set to "Employee Generated."
  3. Non-Bonus Eligible - This is the Non-Bonus eligible amount included in the Net Sold Amount.  If there is no Non-Eligible Bonus amount then enter 0.

Completing a Vendor Bonus

When the Vendor Bonus Transition is selected, the Vendor Bonus pop-up box will appear. Complete the fields based on the definitions below, then Save.



Field Definitions
  1. Vendor Name - This field should be populated with the vendor who will be receiving this referral bonus.  If this field is not pre-populated select the icon to open up the Choose Vendor box to assist in selecting the appropriate Vendor.
  2. Bonus Type - This field should be set to "Referral-Vendor."
  3. Non-Bonus Eligible - This is the Non-Bonus eligible amount included in the Net Sold Amount.  If there is no Non-Eligible Bonus amount then enter 0.

Referral Bonus Key Support Data

1Stop helps you complete referral bonus records by automatically populating relevant data fields. Here is an overview of some of these fields:
  1. Sales Name - Name of the Sale record, which also serves as a quick link to the Sale record.
  2. Lead Source - Lead Source from the Sale record. This field should only be populated with Referral-Contact, Referral-Employee or Referral-Vendor.
  3. Net Sold Amount - Net Sold Amount field from the Sales record.
  4. Job Status - The value in the Jobs Status field from the Sale record. This field is traditionally read-only, except for Administrators as the Job Status field should only be updated on the Sale record. When the Sales record Job Status field is updated, it will automatically update this field.
  5. Product - Product field from the sale record.
