Offboarding an Employee in 1Stop: Step-by-Step Guide

This article walks you through the steps for offboarding a user in 1Stop. Each section expands to provide more details.

1. Update the employee record to mark the user as Resigned or Terminated.
Update the Employee Record
1. Navigate to the Employees module and click on the employee whose record you need to update.



2. Mark the appropriate transition - Resigned or Terminated.



3. A pop-up window will appear. Complete the required fields and click Save.





 2. Deactivate the user in 1Stop CRM.
Deactivate Users in 1Stop
1. Log into 1Stop. Go to Setup General Users, click the name of the user you want to deactivate, then click the Deactivate button in the top-right corner.



2. In the pop-up window, click I Understand. Deactivate now.



 3. Revoke Zoho Sign access for the user, if applicable.
Revoke Zoho Sign Access
1. Go to sign.zoho.com. Navigate to Settings > Users and Control.



2. Click the user whose access you want to revoke, then click More actions and select Revoke access




For 1Stop Internal Use Only: 

 1. Reduce the number of users on the 1Stop subscription, if applicable.

1. Click the profile icon in the bottom-left corner, and then click the Manage button. 


2. Click Downgrade User/Add-Ons



3. Enter the number of users you'd like to remove from your subscription, then click Proceed.


 2. Reduce the number of Zoho Sign licenses in the subscription, if necessary.
Reduce Zoho Sign Licenses
1. In Zoho Sign, navigate to Settings > Subscription Details, then click Modify plan



2. In the new window, click Downgrade Add-Ons



3. Enter the number of licenses you want to remove from your subscription, then click Proceed.



 3. Delete all future Sales Events that are not Demos or Follow-Ups.
Delete Future Sales Events
1. Go to the Sales Events module. 

2. Filter the view as follows: 
  1. Meeting Date: After the Termination or Resignation date. 
  2. Sales Rep: Locate the Sales Rep (if they are already deactivated, be sure to search under Inactive)
  3. Meeting Type: Sales Rep Off, Sales Meeting, or 2nd Sales Rep.
3. Review the records to confirm they are the ones that should be deleted. Then click the three dots and select Delete.

4. If any events are Demo, Follow-Up, or Cancel Save, send an email with links to the related Opportunity/Opportunities to let them know the Sales Rep has future meetings that need to be reassigned.
