Moving a Quote to Lost

Moving a Quote to Lost

Introduction

If you send a Quote to a Contact and they choose not to move forward with it, you need to move the Quote to Lost and report on the reason. Below is an overview on how to report on a Lost Quote.

Manually Move a Quote to Lost

For reporting purposes, we recommend you manually move the Quote to Lost as soon as you know the Contact is not moving forward with the Quote.

1. On the Quote Record, click the Lost Transition Button.
A pop-up box will appear.

2. Select the Quote Lost Reason from the drop-down menu, then Save. The Quote will move to Lost.

Automations to Move a Quote to Lost

If you do not manually move a Quote to Lost in a certain timeframe, 1Stop will auto-move it to Lost based on the State of the Quote and your company's policies. The defaults States and timeframes are:
  1. Open - Auto-move to Lost in 3 days
  2. Hold - Auto-move to Lost in 15 days
  3. Sign in Process - Auto-move to Lost in 15 days
  4. Not Approved - Auto-move to Lost in 7 days
Alert
It is important not to rely on automations to move a Quote for you. To capture the specific Lost Reason, many companies penalize Sales Reps for not manually moving a Quote to Lost immediately. If 1Stop auto-moves the Quote to Lost for you, the Quote Lost Reason will be "Time-Based Auto-Move" and the the % of Quotes auto-moved for you will show in a Report.

View Count-down for Auto-Move to Lost

You can see how many days remain before the Quote automatically moves to Lost by reviewing "SLA Due in # days," which is located to the right of the Current State field at the top of the Quote record.

Info
SLA stands for Service Level Agreement. Your company may have changed the default timeframe for the SLA. Additionally, if your company isn't using this feature, you will not see the SLA. In this case, you will always manually move the Quote to Lost if it wasn't Sold.
