Introduction
Data backup is a fundamental aspect of data management and security. It helps prevent data loss and ensures that you can recover your data when needed.
Setting Up Data Backup Preferences
In 1Stop, you can decide when to create backups of your data.
1. Go to Setup > Data Administration > Data Backup.
2. Click Backup Preference.
3. Choose when to schedule your backup:
- Twice a month (recommended)
- Once a month
- Every week
- Download immediately
Then click Done.
2. Upon clicking "Done," your selected backup preference, status, and availability will be displayed.

Note
- The data backup takes a few minutes to hours depending on the size of the data that needs to be archived. Smaller the data, the lesser time it takes to complete the backup.
- The backup data link remains active for a maximum of 7 days from the date of the backup creation.
Download Data Backup
Once the data backup is ready, the user with administrative privileges can download it. The data and the attachments will be grouped into separate .zip folders.
- CRM Data - The records under each module will be made available.
- CRM Attachments - All the attachments in your CRM Account i.e. attachments of records in the module will be available.
To Download The Data Backup
1. Go to Setup > Data Administration > Data Backup.
2. Click the file under the download section to download it.
Backup Logs
The chronological sequence of action performed, pertaining to data backup will be listed in the Backup Logs. They include:
- Configuration - Upon scheduling backup, the log will be updated with the configuration chosen by the user.
- Backup is ready to download - When the backup is ready for downloading.
- Download initiated - When the backup is downloaded by the user.
- Stopping a scheduled backup.
- Backup purchase details - Details of backup add-on purchased will be updated in the log.
To View The Logs
1. Go to Setup > Data Administration > Data Backup.
Data Backup Notification
Administrators who configured the backup will get popup notifications in the following cases:
- When backup is scheduled.
- When backup is being archived.
- When the backup is ready for download.
- When the administrator stops the backup.
Stop Recurring Backup
If you have a scheduled data backup, you can opt to cancel it whenever necessary.

Note
You can't stop a backup when it's currently running or after the backup is ready for downloading.
To Stop A Recurring Backup
1. Go to Setup > Data Administration > Data Backup.
2. In the Data Backup Page, click Stop Backup in the backup summary window.
3. Click I understand, Stop backup in the popup.
