Introduction
To maintain a clean and efficient system, and ensure you do not exceed your storage limit, it is crucial to monitor the data entered and stored in your 1Stop account. The storage space in 1Stop is divided into two categories, Data Storage and File Storage.
Data Storage
This includes the total storage space taken up by records from both standard and custom modules, including any attached notes. It also accounts for the storage space occupied by data within your recycle bin.
To View The Data Storage
1. Go to Setup > Data Administration > Storage.
2. In the Storage page, click the Data Storage tab to view the total data storage space used and the usage details.
File Storage
This includes the storage space used by images, attachments (both records and email), email templates, and documents linked to a record. You can view a breakdown of storage usage by specific features, such as mail merge and documents as well as by user. Additionally, the utilized storage accounts for data and files stored in the recycle bin.
To View The File Storage
1. Go to Setup > Data Administration > Storage.
2. In the Storage page, click the File Storage tab to view the total file storage space used and the usage details.
Freeing Up Storage Space
1. To locate areas where you can free up storage space, click Show on the Data Storage page within the yellow box.
2. This will display the areas where you can free up storage space.
Recycle Bin
One way you can free up storage space is by emptying the recycle bin. This action reclaims the storage space occupied by deleted files and makes it available for other data. You can empty the recycle bin using one of two methods: either by reviewing the files in the recycle bin and manually selecting the ones you wish to delete (recommended), or by directly emptying the recycle bin.

Alert
- Once you empty or delete files from the Recycle Bin, those files cannot be restored.
- All records in the Recycle Bin will be auto-deleted after 60 days.
To Review And Delete Files In the Recycle Bin
1. Click on Recycle Bin in the yellow box on the Data Storage page.
2. Here, you can view all the files/records that are in the Recycle Bin and delete them according to your preferences. For more details on deleting files/records in the Recycle Bin, see the

Directly Emptying The Recycle Bin
1. To directly empty the Recycle Bin, click the Trash Can icon within the Recycle Bin row. This will permanently delete all contents from the Recycle Bin and your account.
Untouched Records

Warning
Do not delete untouched records. This is a built-in Zoho feature, but it is not applicable to 1Stop. Deleting untouched records will interfere with dashboards and reporting. If you have questions about deleting untouched records, please contact 1Stop.
Add More Storage
If necessary, you have the option to increase your storage capacity.
To Add More Storage
1. Click Add Storage on the Data Storage page. This will display your subscription information.
