Overview on Subcontractor Process

Introduction

A subcontractor is an individual or a company hired by your company to perform specific tasks or provide specialized services as part of an installation job. They are not direct employees of your company, rather, they work independently or as a separate entity and are typically hired to supplement your existing employee base.  1Stop helps manage subcontractor costs ensuring accurate charges from your subcontractors and proper cost assignment.  In this article, we provide:

Video Introduction

The subcontractor process in 1Stop is managed by two key modules: Subcontractors and Vendors. Each module plays a critical role in managing, analyzing, and approving Subcontractor expenses.

Subcontractors Module

The Subcontractors Module is where you manage any subcontractors used on the job.  Once it is determined that a subcontractor is required for a job, a Subcontractor record is created to help manage the following functions:
  1. Estimate the Cost - this stage is where you setup and estimate what the subcontractor cost will be for this job.
  2. Receive and Approve Bill - this stage you have received the subcontractor bill, reviewed for accuracy, update the record if needed and approve.

Vendors Module

The Vendors Module is where you manage all the vendors you use for your business. For subcontractors, the Vendors Module also includes a Subcontractor Pricing section to ensure you get charged the agreed to rates for each job a subcontractor is used on.

Subcontractors Blueprint

The Subcontractor Blueprint establishes a standardized process that all team members must follow when hiring a subcontractor for a job. It ensures that all team members stay informed about the current State of each Subcontractor cost and that the following steps are completed:
  1. Create and complete estimate for the subcontractor cost.
  2. Receive bill, update record and approve the subcontractor cost.
  3. Process the subcontractor cost in your accounting system.
